SAP Business One vs ERPNext for a ₹100-300 Cr manufacturer
SAP Business One vs ERPNext for a ₹100-300 Cr manufacturer: licensing, GST, production and cost compared, plus a scored checklist to help you decide.
If you run a ₹100-300 Cr manufacturing business on Tally or an ageing local ERP, your shortlist probably reads SAP Business One vs ERPNext. Business One (B1) and ERPNext both handle Indian GST and both can run a plant. They are built, licensed and supported in very different ways.
Below you get a side-by-side comparison, cost-of-ownership components, a scored checklist and a fair evaluation method. Product facts come from SAP's and Frappe's own documentation, listed at the end.
A disclosure: LogicMotive implements and supports both SAP, including Business One, and ERPNext, and sells licences for neither, so we have no licence target either way.
The short answer: both can work
Either product can run a mid-sized manufacturer. The better fit depends on five things. They are process complexity, how many people need to log in, your in-house IT, any parent or customer expectation of SAP, and your appetite for customisation. Most firms sit between the clear cases, which is why the scripted demo later in this guide matters more than any feature list.
If you are coming from Tally, our guide to moving from Tally to ERPNext covers the data, GST and cut-over steps. Most of that preparation applies to a B1 move too.
SAP Business One vs ERPNext: side-by-side comparison
- Licensing. SAP Business One: Proprietary named-user licences: Professional, Limited CRM, Limited Financials, Limited Logistics, plus Indirect Access. The Starter Package cannot be mixed with other user types. ERPNext: Open source under GPLv3. No per-user licence fee; you pay for hosting, implementation and support.
- Hosting and database. SAP Business One: On-premise or cloud, on Microsoft SQL Server or SAP HANA (server on SUSE Linux). ERPNext: Self-hosted on Linux (Frappe Framework: Python, JavaScript, MariaDB) or Frappe Cloud, Frappe's managed hosting.
- Manufacturing. SAP Business One: Production BOMs with resources and routing stages; production orders (planned, released, closed); backflush (automatic component issue when output is reported); MRP wizard; resource capacity. ERPNext: Multi-level BOMs, work orders with operations and workstations, job cards, production plan, capacity planning, subcontracting, quality inspection, batches with expiry.
- India GST, e-invoice, e-way bill, TDS. SAP Business One: SAP's India localisation: GST, GST TDS/TCS and eTDS, e-invoices since 10.0, direct IRP submission via ClearTax from feature pack 2405, e-way bill JSON export. ERPNext: India Compliance app, separate from core ERPNext: GST, e-invoice, e-way bill, GSTR-1, GSTR-2B reconciliation, TDS and TCS.
- Customisation. SAP Business One: User-defined fields, plus APIs for partner add-ons and integrations. Source code stays with SAP. ERPNext: Custom fields without code; custom doctypes (ERPNext's document types, such as Sales Invoice), scripts and apps in Python. Source code open.
- Reporting. SAP Business One: Query Manager, Crystal Reports layouts, dashboards and an analytical portal (check which apply to your database). ERPNext: Report Builder with no code, plus query reports and script reports in Python.
- Partners and support. SAP Business One: SAP cites 850+ partners providing local support, and 500+ industry and country extensions. ERPNext: Frappe lists audited partners in 30+ countries. Frappe Cloud's product warranty covers bugs, not functional support.
- Upgrade path. SAP Business One: Feature packs within release 10.0. Moving to S/4HANA later is a new implementation, not an upgrade. ERPNext: Major-version upgrades; retest custom apps and India Compliance each time.
- Audit trail. SAP Business One: Change log records versions with user and date. Since 9.3, a cleanup utility can delete entries by object and date range. ERPNext: Document versioning per doctype; India Compliance's audit-trail setting cannot be disabled once enabled.
Manufacturing depth: test it on your own products
Both cover standard discrete manufacturing. B1's MRP wizard weighs demand from sales orders, forecasts and inventory levels against stock and planned supply. It then recommends production orders, purchases and transfers.
ERPNext's production plan turns sales orders or material requests into work orders, raw-material requests and sub-assembly orders (in-house, subcontracted or bought). Work orders carry operations, workstations and capacity planning, and quality inspection can sit at receipt, on a job card or at dispatch.
The difference shows at the edges. When SAP added routing to B1 in release 9.3, its release highlights pitched it at basic route-based production for businesses with light production needs. If your process needs formulas, potency or detailed shop-floor control, ask the B1 partner which add-on they propose and who maintains it. In ERPNext, anything specific to your process becomes configuration or custom code you then own.
India compliance: same outcome, different plumbing
B1's GST features sit in SAP's India localisation. SAP's how-to guide (version 18.0, February 2025) records e-invoice generation from release 10.0. From feature pack (FP) 2405, the May 2024 update, invoices can go directly to the Invoice Registration Portal through ClearTax. E-way bill data is exported as JSON files. Check what your release and your partner's add-ons do today, and who patches the system when the government changes a schema.
ERPNext handles the same work through the open-source India Compliance app. Its set-up, API costs and audit-trail setting are covered in our Tally to ERPNext guide.
Audit trail: check the settings, not the brochure
For financial years starting on or after 1 April 2023, companies that keep books in accounting software must use software that records an audit trail of every transaction. It must keep an edit log of each change and its date. The audit trail must not be capable of being disabled (proviso to Rule 3(1), Companies (Accounts) Rules, 2014). The statutory auditor reports on it under Rule 11(g) of the Companies (Audit and Auditors) Rules, 2014. Our SAP ITGC and audit trail checklist covers the rule, and ICAI's Implementation Guide on Rule 11(g) sets out what auditors check.
For B1, the point to settle is the change log. Its history tables record the user and update date for each logged version, but since release 9.3 a cleanup utility can delete change-log entries. Restrict that right and agree the set-up with your auditor. In ERPNext, the equivalent control is India Compliance's audit-trail setting, and the demo script below tests both.
Total cost of ownership: compare components, not headline prices
We quote no Business One licence prices: they come from partner quotes and depend on user mix and terms. Ask every bidder for each line below in writing, and put both products on one five-year sheet.
- Software licences. SAP Business One: Per named user. SAP counts any employee of yours, of a subsidiary or of a third party authorised to use B1, directly or indirectly. ERPNext: None for ERPNext or India Compliance.
- Maintenance or subscription. SAP Business One: Ask whether the quote is perpetual licences plus annual maintenance, or a subscription, and the yearly escalation. ERPNext: No software fee. Optional paid support or warranty from Frappe or a partner.
- Database and infrastructure. SAP Business One: SQL Server or SAP HANA, plus servers if on-premise. ERPNext: MariaDB on Linux if self-hosted.
- Hosting. SAP Business One: On-premise servers or a cloud deployment. ERPNext: Self-hosted, or Frappe Cloud: sites from ₹410 and servers from ₹3,600 a month (published Oct 2026), priced on compute, not per user.
- Implementation and support. SAP Business One: Partner fees for scope, data migration and training, then a support or AMS contract. ERPNext: The same, plus any custom development.
- Add-ons and apps. SAP Business One: Partner solutions, which SAP's guide says must be licensed by that partner. ERPNext: Other Frappe apps as needed; India Compliance API usage.
- Internal team. SAP Business One: Key users, an ERP owner, and Windows and SQL Server administration, or Linux and HANA administration for B1 on HANA. ERPNext: Key users, an ERP owner, and Python and Frappe skills in-house or on contract.
- Upgrades. SAP Business One: Feature-pack upgrades and add-on compatibility testing. ERPNext: Major-version upgrades and retesting of custom apps.
Two cautions. B1's licence bill grows with every named user, including indirect ones. ERPNext's entry hosting price is not your hosting price: size a dedicated server with a load test, and budget for maintaining custom code.
Decision guide
Choose Business One if
- A parent company, major customer or investor expects SAP, or your group already runs SAP.
- You want one large vendor to own the roadmap and the India localisation, with a local partner delivering.
- Your users are mostly office staff and their number is stable, so named-user costs stay predictable.
- You would rather buy partner add-ons than build features.
- Your IT team knows Windows and SQL Server (for B1 on SQL Server) rather than Python and Frappe.
Choose ERPNext if
- Many people in stores, QC, the shop floor and sales need logins, and per-user licences would make you ration access.
- You expect frequent process changes and can fund Python and Frappe skills, in-house or through a partner.
- You want the source code and the freedom to change partner without changing software.
- You run several legal entities and want them in one database with inter-company entries. B1 keeps each company in its own company database, so ask its bidder to demonstrate intercompany postings.
- You are comfortable with Linux hosting or a managed service such as Frappe Cloud.
Red flags
Business One
- Process manufacturing with formulas, potency or regulatory batch records, and no named add-on in the proposal.
- A licence count that covers office staff but ignores shop-floor users, portals and integrations.
- A plan to move to S/4HANA soon. SAP's system conversion path is for existing SAP ERP systems, so a B1 move is a new implementation.
- Change-log cleanup rights left with general users.
ERPNext
- A very lean IT team with no support contract. Self-hosting means you own backups, security patches and upgrades.
- Customisation done by editing core code instead of a separate custom app, which makes every upgrade harder.
- Regulated or process manufacturing with no reference customer in your industry.
- An assumption that open source means no running cost.
Scored checklist
Score each statement 0 (not true), 1 (partly true) or 2 (true), then total the B1 rows and the ERPNext rows separately.
- 1. Statement: A parent, major customer or investor expects SAP. Points to: B1
- 2. Statement: We want one vendor to own the roadmap and India localisation. Points to: B1
- 3. Statement: Most ERP users will be office staff, and the number is stable. Points to: B1
- 4. Statement: We prefer buying partner add-ons to building features. Points to: B1
- 5. Statement: Our IT skills are Windows and SQL Server (B1 on SQL Server), not Python and Frappe. Points to: B1
- 6. Statement: Many stores, QC and shop-floor staff need their own logins. Points to: ERPNext
- 7. Statement: We expect frequent process changes and can fund developers. Points to: ERPNext
- 8. Statement: We want the source code and a free choice of partner. Points to: ERPNext
- 9. Statement: We want several legal entities in one database. Points to: ERPNext
- 10. Statement: We are comfortable with Linux or managed cloud hosting. Points to: ERPNext
As a rule of thumb, a lead of 4 points or more shows which product to evaluate first; a closer result calls for full scripted demos of both. A single red flag can outweigh the score.
How to run a fair evaluation
Script the demos around your scenarios
Send both bidders the same script and sample data in advance: items, BOMs, customers and a month of transactions. Ask them to work in the live system, not slides, and score each scenario on one sheet.
- BOM costing: A multi-level BOM costed with material, labour and overhead; a BOM revision; actual against planned cost.
- Job work under GST: Material sent to a job worker, goods and scrap received back, the GST documents and job-work return data.
- Batch traceability: From a customer complaint back to the supplier batch and forward to every customer who got it; expiry-based picking.
- E-invoice and e-way bill: Generating and cancelling both, and what users do when the portal is down.
- Month-end: Stock valuation, work in progress, GSTR-1 and GSTR-3B data, TDS and the closing checklist.
- Audit trail: Edit a posted invoice, show the log, then try to delete it.
- A user's day: A stores clerk and a shift supervisor doing real tasks.
Make reference calls
Ask each bidder for two or three Indian manufacturers of similar size and process, live for at least two years. Speak to their finance and production heads without the bidder present, and ask:
- What did the system not do that you expected, and how was it solved?
- What did the last upgrade involve, and who paid for it?
- How quickly does the partner respond to a production-stopping issue?
Put these points in the contract
- Licence or hosting terms: user types and counts, indirect access and escalation for B1; hosting plan, India Compliance API usage and support plan for ERPNext.
- Scope tied to the scripted scenarios, which become the acceptance tests.
- Rates for change requests and support, with response times by severity.
- Ownership of custom code, configuration and documentation, plus full database access and data export on exit.
- Named key consultants, with a replacement clause.
- Who applies GST and statutory updates, and how soon after a government change.
- Who carries out upgrades in the first three years, at what cost.
Frequently asked questions
What does ERPNext cost compared with a Business One quote?
ERPNext has no licence fee, so its cost is hosting, implementation, support, custom development and India Compliance API usage. A Business One quote adds named-user licences and maintenance or subscription to similar partner fees. Put both on one five-year sheet, because the gap can change after year one as users and custom code grow.
Can SAP Business One be upgraded to S/4HANA later?
Not in place. SAP's system conversion path applies to existing SAP ERP systems, and Business One is a separate product, so moving to S/4HANA means a new implementation. The same is true for ERPNext. If S/4HANA is realistic within a few years, factor that into what you invest now.
Do both products handle GST e-invoicing and e-way bills?
Yes, by different routes. Business One's India localisation has generated e-invoice files since release 10.0. From feature pack 2405, an E-Billing Connector can send invoices and credit memos directly to the Invoice Registration Portal through ClearTax, and e-way bill data is exported as JSON files. ERPNext uses the India Compliance app, which integrates with the government's NIC portals. Test cancellation and portal downtime in your demo.
Which is better for pharma or specialty chemicals?
Neither wins by default. Both manage batch numbers, but regulated process manufacturing can need formula handling, potency, batch genealogy and validation records beyond the standard product. Ask each bidder for a reference customer in your industry and for the exact add-on or custom app they would use.
Get an ERPNext fit check
An ERPNext fit check is a structured review of how you run today (Tally data, Excel side-systems, stock, production and GST) against ERPNext. You get a written fit-gap view by process and a plain recommendation, which may be to stay on Tally for now or to look at a Business One-class system instead. For a manufacturer weighing both products, it also covers the hard cases above: BOM costing, job work and batch traceability.
What you provide: your process list, user counts by role, sample BOMs and transactions, your GST registrations and the reports you use today.
