Tally to ERPNext migration: cost, timeline and what changes

Tally to ERPNext migration for Indian SMBs: cost by component, GST e-invoice and audit-trail rules, data to move, plus a budget worksheet to fill in.

LogicMotive blog cover: Tally to ERPNext migration: cost, timeline and what changes

Many small Indian manufacturers and traders keep their books in Tally, with Excel sheets around it for stock by location, production plans, job work, approvals and the monthly MIS. When the sheets become the real system, owners start looking at ERP software, and ERPNext comes up because it is open source with no per-user licence fee.

This guide is for the owner or accounts head of a business under ₹100 Cr turnover weighing a Tally to ERPNext migration. It covers when to move (and when not to), the GST and MCA rules, cost with a worksheet, the phases, the data and the people.

LogicMotive implements ERPNext for SMBs moving off Tally, but these checks work whoever you hire. Prices are as published by Tally Solutions and Frappe in October 2026; confirm them before you budget.

First, check whether you have really outgrown Tally

Many businesses should stay on Tally. Both TallyPrime editions cover accounting, GST, e-invoicing, e-way bills and inventory (Tally Solutions). TallyPrime also handles godowns, bills of materials with a manufacturing journal (Tally help) and job work in either direction (Tally help).

The test is where the work happens. Signs that it now happens outside Tally:

  • Stock lives in two places. Godowns exist in Tally, but stores trust their own sheet for bins, batches and job-work stock, and the two rarely agree.
  • Production is planned in Excel. Work orders, material requests and machine loading are tracked outside the books, and the manufacturing entry is posted after the fact.
  • Approvals leave no record. Purchase orders and rate changes are approved on WhatsApp or paper, so nobody can later show who approved what.
  • Several sites need to work at once. Tally's Gold licence covers unlimited users on a local network; for remote use, Tally sells a separate Cloud Access add-on (Tally Solutions).
  • Reports take days. The monthly MIS, stock ageing or customer-wise margin is stitched together from exports.

If your pain is mainly accounting and GST filing, fix the Tally setup and processes first. If it sits in stock, production, approvals and reporting, an ERP is worth assessing. Larger manufacturers can compare options in our SAP Business One vs ERPNext guide.

What ERPNext is, in plain terms

ERPNext is an open-source ERP from Frappe Technologies, released under the GNU GPL v3 licence (GitHub). Frappe's India page says there is no per-user pricing and you pay only for hosting (Frappe), though implementation and support are separate costs.

The modules that matter to an SMB manufacturer (Frappe):

  • Accounting, including receivables, payables and fixed assets.
  • Stock: items, warehouses, batch and serial tracking.
  • Buying and selling, from quotation to invoice.
  • Manufacturing: multi-level BOMs, work orders, job cards and production planning (docs).
  • Subcontracting for job work: material goes out against a subcontracting order and returns as finished goods (docs).
  • Quality inspections.

HR and payroll sit in a separate GPL v3 app, Frappe HR, split out of ERPNext from version 14 (GitHub).

India compliance comes from an app

GST features come from the India Compliance app, published by Resilient Tech under GPL v3 (GitHub). It covers GST setup, GSTR-1 preparation, purchase reconciliation against GSTR-2A and 2B, GSTIN validation, and e-invoice (Invoice Reference Number, IRN) and e-way bill generation through the government's NIC portals.

These features call government APIs, which cost money. Access is included on Frappe Cloud (India Compliance); elsewhere you buy API credits through an India Compliance account (India Compliance docs).

Three ways to host it

  • Frappe Cloud. Who runs it: Frappe, as a managed service. What to check: Plan size, backups, which support is included
  • Self-hosted. Who runs it: Your IT team or vendor, on your server or cloud account. What to check: Who applies upgrades, patches and backups; who has database access
  • Partner-hosted. Who runs it: Your implementation partner. What to check: Exit terms, full data export, admin access to your own system

Frappe lists planned end of life for version 15 at the end of 2027 and for version 16 at the end of 2029 (Frappe). So a project starting now should go live on version 16, which the Tally Migration app covered below also needs.

The compliance rules that shape the project

GST e-invoicing and the 30-day limit

E-invoicing has applied since 1 August 2023 to businesses whose aggregate turnover exceeded ₹5 Cr in any financial year from 2017-18 onwards (Notification 10/2023–Central Tax, amending Notification 13/2020–Central Tax). A business that crossed ₹5 Cr once and has since dropped below it is still covered. Each e-invoice must be registered on the government's invoice registration portal (IRP) to get an IRN, so your new system must do this from day one.

A second rule matters during cut-over. From 1 April 2025, taxpayers with annual aggregate turnover (AATO) of ₹10 Cr and above cannot report e-invoices older than 30 days to the IRP (GSTN advisory, 5 Nov 2024). The limit covers invoices, credit notes and debit notes. Decide in advance which system raises IRNs from which date, so nothing goes unreported during the switch.

The MCA audit-trail rule, for companies

For financial years starting on or after 1 April 2023, companies that keep books in accounting software must use software that records an audit trail of every transaction. It must keep an edit log of each change and its date. The audit trail must not be capable of being disabled (proviso to Rule 3(1), Companies (Accounts) Rules, 2014). The statutory auditor reports on it under Rule 11(g) of the Companies (Audit and Auditors) Rules, 2014 (ICAI implementation guide). The rule applies if your business is a company, and our SAP ITGC and audit-trail checklist covers it in detail.

On Tally. Edit Log arrived with TallyPrime Release 2.1 as two products. In standard TallyPrime you can switch it off. In the TallyPrime Edit Log release you cannot, and Tally advises companies under the MCA rule to use that release (Tally help). If you stay on Tally, check which one you run.

On ERPNext. Three features work together:

  • Version history ("Track Changes") records what changed, by whom and when (docs); it is on by default for documents such as Sales Invoice (GitHub).
  • Submitted vouchers cannot be edited, only cancelled and amended, so the original stays on record (docs).
  • India Compliance adds an "Enable Audit Trail" setting that cannot be switched off once on. It locks Track Changes on for documents that post to the ledger or stock, blocks changes to their version records, and adds an Audit Trail report (GitHub).

The limits: the setting is off until someone turns it on, and without it Track Changes is an ordinary Customize Form option (docs). The protected list covers accounting and stock documents, not masters such as customers or items. And no application setting stops someone with direct database or server access, which matters if you self-host.

Software alone does not make you compliant. Ask your auditor to review the configuration and access rights before go-live.

What it costs, component by component

With no licence fee, ERPNext's real cost is hosting plus people's time, yours and your implementer's. Compare the full cost of each option over three years, not licence against licence.

Tally, for reference (pricing page and cost guide, October 2026, all plus 18% GST):

  • Silver (single user), lifetime: ₹22,500. Gold (unlimited users on a local network), lifetime: ₹67,500. Each includes one year of Tally Software Services (TSS, Tally's update and support subscription).
  • Rental from ₹750 a month (Silver) or ₹2,250 a month (Gold).
  • TSS renewal: ₹4,500 a year (Silver) or ₹13,500 a year (Gold).

Frappe Cloud, for reference (site plans, October 2026). Shared-site plans on AWS, Mumbai:

  • $5 / ₹410. CPU time per day: 0.5 hr. Database: 250 MB. Storage: 2.5 GB
  • $10 / ₹820. CPU time per day: 1 hr. Database: 500 MB. Storage: 5 GB
  • $25 / ₹2,050. CPU time per day: 2 hr. Database: 1 GB. Storage: 25 GB
  • $38 / ₹3,075. CPU time per day: 3 hr. Database: 1.5 GB. Storage: 37.5 GB
  • $50 / ₹4,100. CPU time per day: 4 hr. Database: 2 GB. Storage: 50 GB

CPU time is the processing time your site may use each day; heavier use from more users and reports needs a bigger plan.

  • Users: no user limit.
  • Backups: offsite backups start at the $25 tier.
  • Warranty: the $50 tier adds Frappe's "Product Warranty", bug fixes by Frappe engineers but not functional support.

Server plans (a whole virtual machine) start at $40 (₹3,600) a month (pricing). Check at checkout whether GST is extra.

A worksheet to fill in

  • Software licence. What drives it: Users, edition. ERPNext (₹): Nil
  • Hosting or servers. What drives it: Users, data volume, backups
  • GST API access. What drives it: Hosting choice, invoice volume
  • Implementation services. What drives it: Processes, companies, sites
  • Data clean-up and migration. What drives it: State of masters and opening stock
  • Customisation. What drives it: Print formats, reports, integrations
  • Training. What drives it: Users and roles
  • Support or AMC, per year. What drives it: Functional help after go-live
  • Internal time. What drives it: Hours from accounts, stores, planning
  • Parallel run. What drives it: Double entry during the overlap
  • Three-year total.

Ask implementers to quote against these lines, with a fixed phase-one scope. Keep customisation small at the start, because every custom report or field needs retesting at each upgrade.

Tally to ERPNext migration timeline: phases and go-live

An honest week count needs a look at your data. The main factors: number of companies and GSTINs, state of your masters, whether manufacturing is in phase one, customisation, and your accounts head's time.

The usual phases:

  1. Discovery. Map how orders, stock, production and accounts flow today, and agree what goes live first.
  2. Master data clean-up. Merge duplicate ledgers and items, and fix GSTINs and HSN codes before import, not after.
  3. Configuration and testing. Chart of accounts, taxes, warehouses, approval workflows, print formats, and e-invoice tests on real cases.
  4. Opening balances. Follow Frappe's order: chart of accounts, outstanding invoices, opening payments, opening stock, assets, then a final opening journal. Check the trial balance after each stage (docs).
  5. Parallel run. Keep it short and defined. Only one system should raise IRNs and e-way bills on any given day.
  6. Go-live and support. Check the first month-end close line by line.

Pick the cut-over date with care. Frappe's migration guide calls a financial-year boundary convenient and says a month-end can work if waiting is impractical (docs). Starting on 1 April means no current-year profit and loss has to move, and one year's books and audit trail are not split across two systems. Expect audit adjustments to last year's Tally books after go-live, and carry them into ERPNext's opening balances. If you cannot wait, start on the first day of a GST return period, so each return draws on one system.

Moving the data: what to bring and what to leave

Bring what you need to keep operating. Leave history in Tally.

  • Groups and ledgers. In ERPNext: Chart of accounts, via the Chart of Accounts Importer. Watch out for: The company must have no transactions yet (docs)
  • Sundry debtors and creditors. In ERPNext: Customer and supplier masters. Watch out for: GSTIN, state, addresses; one master per party
  • Stock items. In ERPNext: Items with HSN/SAC code, unit and tax template. Watch out for: Duplicate and dormant items
  • Godowns. In ERPNext: Warehouses. Watch out for: Locations that exist only in Excel
  • Closing stock. In ERPNext: Stock Reconciliation, purpose "Opening Stock". Watch out for: Valuation rate per warehouse; batch and serial items need extra steps (docs)
  • Outstanding bills. In ERPNext: Opening Invoice Creation Tool. Watch out for: Brings balances, not item history
  • Pending orders. In ERPNext: Open purchase and sales orders. Watch out for: Pending quantities only
  • BOMs. In ERPNext: BOMs. Watch out for: Check against the shop floor before import

Frappe's guide says to leave closed invoices, settled payments, completed orders and journal history in the old system (docs). Keep Tally read-only for past years. A perpetual TallyPrime licence keeps working after TSS lapses, though upgrades, statutory updates and connected services such as online e-invoicing and e-way bills stop (Tally FAQ). Keep TSS active until ERPNext is raising every IRN. Companies must preserve books, audit trail included, for at least eight financial years (ICAI).

For extraction, Frappe Cloud's marketplace lists a third-party Tally Migration app by GreyCube, for ERPNext v16 (Frappe Cloud). It imports masters and opening balances, brings accounting vouchers in as journal entries, and skips inventory vouchers. Whatever tool you use, reconcile the trial balance and stock value against Tally before sign-off.

What changes for your people

  • Accountants pass fewer journal vouchers. Most entries flow from source documents: a purchase receipt becomes a purchase invoice, a delivery note becomes a sales invoice. Mistakes are fixed by cancel and amend, not by editing.
  • Stores record every receipt, transfer and issue as it happens. Stock figures are only as good as that discipline.
  • Production works from work orders and job cards, and job work moves through subcontracting orders instead of sheets.
  • Purchase and sales heads approve inside the system, with workflows that route by role and by values such as order total (docs).
  • The owner sees stock, receivables and order reports from live data, provided entries are made on time.

Train by role, on your own data, close to go-live. Name one key user in each department to answer first-line questions. Bring your senior Tally accountant in early: if they are not convinced, the parallel run drags on.

Frequently asked questions

Is ERPNext free?

The software is free to use under the GNU GPL v3 licence, with no per-user fee. Hosting, implementation, training and support cost money; Frappe Cloud's shared plans started at ₹410 a month in October 2026.

Does ERPNext handle GST e-invoices and e-way bills?

Yes, through the India Compliance app, which connects to the government's NIC portals for IRNs and e-way bills. API access is included on Frappe Cloud; elsewhere you buy API credits. Test real invoice, credit note and e-way bill cases before go-live.

Does ERPNext meet the MCA audit-trail rule?

It has the features: version history, no editing of submitted vouchers, and an India Compliance audit-trail setting that cannot be disabled once enabled. Compliance still depends on that setting being on, on who holds administrator and database access, and on your auditor's review.

What happens to our old Tally data?

Keep it. Move masters, open balances and open items, and keep Tally read-only for past years. A perpetual TallyPrime licence keeps working without TSS, but statutory updates and online e-invoicing stop. Companies must preserve books of account for at least eight financial years.

Get an ERPNext fit check for Tally users

An ERPNext fit check is a structured review of how you run today (Tally data, Excel side-systems, stock, production and GST) against ERPNext. You get a written fit-gap view by process and a plain recommendation, which may be to stay on Tally for now or to look at a Business One-class system instead.

What you provide: your GST registrations and turnover band, a Tally trial balance, and a count of ledgers, parties and items. Add the Excel sheets your team relies on, and time for a walk-through with your accounts head and stores in-charge.
